Terms and Conditions

General Terms
 
We promote responsible tourism in the Democratic Republic of the Congo and Uganda;Tanzania;Kenya;Burundi;Rwanda such that local communities to benefits from Eco-tourism and hence motivated to protect resources and adopt passion and love for conservation of Nature. We offer the best possible assistance to our clients in all ways from the beginning of their adventure tour up to the end of it. Please read carefully the following terms and conditions which are consistent with the laws and standards of the above countries mentioned in which we operate our areas services. 
 
I. BOOKINGS  CONDITIONS
 
The person making the booking warrants that he/she is at least 18 years old and has full authority to enter into a contract on the basis of these conditions on behalf of all persons named on the booking and confirms that all such persons are fully aware of and accept these conditions.
A booking is accepted and becomes definite only from the date when the Organization sends a confirmation invoice to the client who makes the booking or their authorized travel agent. It is at this point that a contract between the Organization and the client comes into existence. For bookings made via our website, any acknowledgement of your booking request we send to you in the meantime is not a confirmation of your booking. Before your booking is confirmed and a contract comes into force, the Organization reserves the right to increase or decrease tour prices. Please see “Vacation Planner” section. The Organization reserves the right to decline any booking at their discretion. If you book via our website, we will communicate with you by e-mail. You must accordingly check your e-mails on a regular basis. We may also contact you by telephone and/or post if we cannot, for whatever reason, contact you by e-mail. Certain documents may need to be sent by post. References in these conditions to “send” and “in writing” or similar include communication by e-mail. You should contact us by e-mail if you need to do so for any of the reasons mentioned in these booking conditions (for example, to request an amendment).
 
II. Booking Confirmation
 
All the preliminary booking requests shall be specified by a detailed letter or text containing the precise number of tourists in each group, dates and itinerary of travel, special requests and optional visits.
 
III. TERMS OF PAYMENTS
 
Payments for the transactions under the present terms and conditions, shall be made by you in USD ($) and must be made by bank transfer 50% before pax / group’s arrival and the deposit on your arrival before to start your Trip which is the Must.
Make sure that you bring brand new notes, no older that 2006 and definitely no tears on the notes.
 
IV. CANCELLATION  POLICY
 
The cancellation of a booking by the client must be made in writing and signed from the group leader; the amount of the cancellation fee is calculated according to the date on which the company receives written cancellation notice:
 Should the client wish to cancel, cancellation charges will be imposed.
a) Between 6 weeks and 28 days before the departure date, the cancellation fee is 30% of the Land arrangement plus the full cost of the Activity permits and domestic flights portions.
 
b) 14-27 days before the departure date; the cancellation fee is 75% of the total cost of the booking plus the costs of the Activity permits and domestic flights portions.
c) 7-13 days before the departure  date ,the cancellation fee is 90% of the total cost of the booking  plus  the costs of the Activity permits; park fees and the domestic flights portions.
d) Less than 7 days of the departure date; the cancellation fee is 100% 
It is strongly recommended that full insurance is taken out which includes cover, under certain circumstances, against the loss of deposit or cancellation charges. It is strongly recommended that comprehensive travel insurance is taken out which includes cover against cancellation charges. Depending on the reason for the cancellation, you may be able to reclaim the cancellation charges (less any applicable excess) under the terms of the insurance policy. All claims must be made direct to the insurance company. In the event of the cancellation of a booking where the client is liable to pay to the Organization cancellation charges in excess of the amount already paid to the Organization at the time of cancellation, the client cannot transfer or add these charges to another booking or use any amounts paid to us in relation to the cancelled booking by way of part payment for another booking. Part cancellation of a booking may result in additional costs being payable by the remaining clients.

V. REMITTANCE OF FUNDS TO ACCOUNT
 
All remittance to our account will exclude bank charges that mean the exact amounts received will be credited to the sender’s account with us. The bank commission or Bank charges must be paid by the sender.
 
VI. PASSPORTS, VISAS AND A VALID YELLOW FEVER CARD
 
Clients are responsible for arranging, and must be in possession of, a valid, and acceptable passport and any visas and a valid yellow fever is required and the injection has to have been done 10 days prio to 
Departure from home, for the whole of your journey and tour. Information about these matters or related items (climate, clothing, baggage, personal gear etc) is given in good faith but without responsibility on the part of the Organization. 
We regret we cannot accept any liability if you are refused entry onto any transport or into any country due to failure on your part to carry all required documentation. If failure to have any necessary travel or other documents results in fines, surcharges or other financial penalty being imposed on us, you will be responsible for reimbursing us accordingly.
 
VII. SETTLEMENT OF CLAIMS
 
The Damage caused by tourists to the receiving party shall be indemnified by the persons who have caused the damage; If a claim for damage is rejected by the defendant through lack of funds or any other reasons, a corresponding protocol shall be made up, signed by the representatives of client and the sending party, the tour leader of the group and the defendant. If a person who has caused damage rejects to sign the protocol, the letter shall be signed by the representatives of both parties and by witnesses, if any.
 
VIII. EXTRA CHARGES INCURRED
 
In case of flight delays causing the tourists to stay longer in country of travelling, EXECUTOR undertakes to do all possible to obtain the necessary visa extension for the tourists. All extra charges incurred due to this delay e.g. Hotel accommodation, meals, etc. will be paid by the sending party. The final sum will be confirmed by mutual communication between both parties.
Extra services not included into the program are to be paid for on the spot.
 
IX. TRANSPORTATION  AND  HOTEL BOOKING
 
We provide every assistance to the client by offering a range, mid range, Budget and the luxury according to the needs,  the local airlines and the costs incurred shall be paid by the  client sending party if such costs are not included in the cost of the tour.
 
X. JURISDICTION
 
SAFARI CONGO ADVENTURES is operates under the DRCongo Lows.
 
XI. TERMS OF AGREEMENT
 
We accept to be duly bound by terms and conditions above; SAFARI CONGO ADVENTURES demonstrates his acceptance.
I certify that I have carefully read and fully understood the contents of the Terms and Conditions; including cancellation and refund policies, limitation of liability and responsibility borne by Tour participants.
On the Advance of a deposit to SAFARI CONGO ADVENTURES; the Sender, his or her family/representative agree to be bound by the above Terms and conditions.  
The present Agreement shall take effect from the date of signature.
However, the rates/tariffs for all services are subject to change periodically as specified.
